POSITION:Administrator, Level III Grade 24 - 25
Salary: $65,264.00 - $83,089.00 + $3,026.00 Location Pay
 
DEPARTMENT:INSTITUTE ADMINISTRATION
 
DUTIES:Multiple positions exist in various departments at NYPI. Responsibilities include: Grants and Contracts Pre-Award Preparing budgets and budget justifications, maintaining other support and biosketch pages for key personnel, compiling and formatting applications to meet sponsor specifications, and working with grants management offices of RFMH and CU to ensure timely submission of all required documents. Grants and Contracts Post Award Compiling all reports as required by sponsor, monitoring that grant/contract expenditures are appropriate for that project, preparing contract amendments, monitoring all accounts for over/under-spending and working with grants office to prevent/resolve problems in this area, ensuring grants funding and expenditures remain on budget, arrange for proper filing of the P.I. grant applications, prepare IACUC/IRB Protocol for submission to the appropriate office, keep track of IACUC/IRB expiration and revision dates, and keep track of the Investigator's non-competing submission dates. Purchasing/Payables Preparing purchase requisitions in the ordering of all supplies, equipment, and services, paying invoices, complete pay orders for independent contractors and consultants, prepare subject pay orders w/IRB protocol number, on Columbia University accounts, entering necessary information in AP/CAR system, maintain petty cash accounts in CU and RFMH, prepare travel vouchers, and follow-up on issues as needed. Human Resources/Payroll Preparing job descriptions and requirements for posting, submitting hiring paperwork, preparing visa documentation, submitting changes in account allocations, submitting requests for promotions, salary increases and other personal changes, reviewing outside employment forms for NYPI employees, and preparation of termination paperwork. Academic Appointments/Promotions Collecting, reviewing, and submitting all documents related to faculty appointments and promotions (tenure and non-tenure), collecting, reviewing, and submitting all documents related to the appointments of post-doctoral fellows. Clinical Services Administration Collecting, reviewing, and submitting all documents related to credentialing of clinical faculty/staff at NYPH and NYPI, oversee and/or support clinical practice areas, including space, compliance, billing and scheduling. Divisional Financial Management Preparing annual budgets for CU, monitoring and reconciling division's accounts, and ensuring division remains financially viable and within budget. Supervisory Responsibilities Responsible for supervising clerical and junior administrators within division, and responsible for supervising project administrators within division. Reporting Structure: Reports directly to the Division Chief and reports to the Vice Chair for Administration/CFO and her designees when appropriate
 
EDUCATION:Masters in public health, public administration, business, or other related field preferred.
 
TRAINING & EXPERIENCE:3-5 years experience required. Strong analytic skills needed. Must be organized and detail oriented. Must have financial management and budget experience.
